MANAGERS & COACHES
BYFC is always seeking people to assist running our teams as Managers or Coaches. These volunteers are key to the success of the club. The personal development and gain in developing a group of players in grassroots football is immense. BYFC will provide FA Coaching courses, kit and support to you when running or assisting one of our many teams. This is a great opportunity as well for those seeking to get into sports coaching as part of a chosen career.
CLUB SECRETARY
To set agenda and plan/ prepare Club meetings
To record, issue and produce full minutes
To be the first point of contact to outside agencies such as FA and FA Officials, League Officials and Other Football Club Officials
To maintain risk register & follow up all actions from meetings
Registration of Teams with respective Leagues including Cup competitions
Acknowledge fines issued by league and arrange payment through Treasurer
Ensure all Barming Youth F.C. competitions and sections (i.e. Youth Boys, Youth Girls and 5 aside) are affiliated with FA before the required date each season.
Administer all Club correspondence
Submit club accreditation through Club Portal
TREASURER
Prepare budget, in consultation with the Committee
Prepare a financial statement showing income and expenditure of the Club for presentation at the AGM each year or first meeting of the new season
Ensure all staff, team managers and coaches do not exceed authority ceilings for financial expenditure without reference to the Committee
Attend to general banking activities
Maintain accurate records of income and expenditure
Report to the Committee on a monthly basis
Present all accounts for payment for approval
Arrange invoices for periodical payments
Organise collection of funds from various events for banking
Oversee and seek reports of all other accounts held by sections of the Club
Ensure the Club finances are appropriately verified
Report activities of the portfolio to the membership at the AGM
Be one of several signatories – two on each Club cheque
Monitor sponsorship funds
Attend monthly Club Committee Meetings
PITCH SECRETARY
To arrange and book all pitches for all Home League and Cup games
To arrange and book all locations for Club training sessions
To ensure the Club has access to enough pitches and training locations to support the needs of the club
REFEREE COORDINATOR
Monthly:
Actively seek out the fixtures two weeks in advance of the start of the month, using the Whole Game System
Assign a referee to each home match
Using an excel sheet (or similar) create a list of all the home fixtures including the team name, fixture, pitch, kick off time and referee name and number
Make the above document available to Managers and Coaches using the club distribution list
Communicate with referees/parents of referees via the WhatsApp group (or similar) to seek referees when replacements are required at short notice
Ongoing:
Maintain records of qualified referees and the age groups they can referee
Keep a record of any potential referees and provide information to that potential referee of courses being run by the Kent FA
Recommend to the BYFC Committee anyone wishing to do a referee course
Offer equal opportunity to all qualified referees
Where issues around a lapse of respect occur to referees, support that referee alongside the Welfare Officers
MEDIA OFFICER
Distribute media releases to media organisations
Organise and produce all promotional materials, including photos of events and cups finals for website
Work proactively and reactively with local media to positively promote the image of the club
Help teams promote sponsors
To uphold and promote organisational Policies and Procedures
Controls what is published on Clubs Media
REFEREE DEVELOPMENT OFFICER
To help develop current Club referees and increase list of available referees for Club. Also support the delivery of the National Game Strategy to develop and implement effective recruitment, retention and development strategies for referees within.
Increase and develop the number and quality of referees within the Club, along with promote all aspects of the FA Respect programme.
